Do you need a website for your Condo Association?

Florida’s New Condo Association Website Law is creating a key opportunity for marketing exposure, while offering efficiencies and enhanced access and protection of handy resources to residents. Condominiums are now making plans to comply with the law.

Here are organizations that are paying attention to the deadlines and the requirements of the new law:

Florida Condo Associations with 100 or more parcels – must have a website with a password protected portal that maintains shared documents by January 1, 2025

Florida Condo Associations with 25 or more units – must have a website with a password protected portal that maintains shared documents by January 1, 2026.

Florida Governor Rick Scott signed the new regulations into law to level up the relationship between condo associations and their unit owners. It’s important for associations to know that these requirements, though seemingly burdensome at first, create an opportunity to not only better serve unit owners but also enhance their brand and marketing potential.

Before we get to that, let’s go over some of the requirements in the new law.

  • First, these associations must own a website or web portal. They can contract with a third party provider as long as the association obtains the right to operate the portal.
  • The website must be accessible to the public but also contain a password-protected section for condo association documents. The password protected section is only available to owners, employees, and managers of the association.
  • The protected documents should include the recorded declaration of the condominium, the bylaws, amendments to the bylaws, articles of incorporation, and rules and regulations.
  • Also the association’s annual budget and proposed budget (with website costs) that will be considered for the annual meeting along with the financial report and any monthly income or expense statements that will be discussed at the meeting.
  • The private portal must post notice of owner meetings, board meetings, and membership meetings with all documents required for the meetings.

There is much more, so it’s important that association owners consult with their attorneys and with a website developer who’s familiar with condo website requirements. This will all take extra work on the part of the association management team, but there is an upside.

Opportunity for Efficiency, Brand Identity, and Marketing

The fact is, these new requirements are consistent with an effective customer centric, responsive website design that engages your audience.

The private portal will be available at the convenience of unit owners and association management 24/7. This saves everyone time by answering questions without phone calls or personal meetings.

Community news can be shared in a forum familiar to everyone important to the association. And links to important local websites such as government, shopping centers, and local attractions help unit owners more easily navigate their neighborhood. Both strengthen the positive connection between unit owners and the association.

Adding the required password protected association portal provides the perfect opportunity to create a new website that looks good, is a source for important information, and enhances your brand identity.

And importantly, potential unit buyers first look for information on condominiums online. A well designed website creates a professional online presence, boosting the reputation of the community. That’s why a condo’s website is so important to its marketing and brand identity. It’s the hub of its online marketing program without the expense of TV, radio, or print ads.
